GigRadar CRM lets you send a meeting invitation directly inside a conversation without leaving the inbox. The client receives a booking link and picks a time that works for them based on your availability.
Step 1: Open the Meeting Scheduler
In the message composer at the bottom of any conversation, click the video camera icon next to the attachment icon. Make sure the composer is set to Message mode — the meeting invite is sent to the client, not posted as an internal note.
Step 2: Choose a Meeting Duration
A Choose meeting duration modal opens. Select how long you want the meeting to be:
15 Minutes
30 Minutes
45 Minutes
60 Minutes
Click the duration that fits your needs. The selected option highlights in green.
Step 3: Set or Review Your Availability (Optional)
Before sending, click Edit Availability to configure the time slots you're open for meetings.
In the Share your availability panel:
Timezone — select your timezone from the dropdown. The client will see available times converted to their own timezone automatically.
Day availability — toggle each day on or off. For active days, set your available window (e.g. 09:00 to 17:00).
Add new slot — add multiple time blocks within the same day if needed (e.g. morning and afternoon).
Click Save. Your availability is saved for all future meeting invitations — you won't need to re-enter it each time.
Step 4: Send the Invitation
Click Send Now. The meeting request appears in the conversation thread as a client-visible message:
Schedule a [duration]-minute Meeting Waiting for others to pick a date and time.
The client clicks the invitation and selects a time from your available slots.
Tips
Set your availability once — it carries over to all future invitations. Update it anytime via Edit Availability in the meeting modal.
If you work across timezones, double-check the timezone setting before sending.
Meeting invitations are client-visible. If you want to coordinate timing with your team first, use a Note to discuss internally before sending.
